When an important email never appears, it is tempting to reinstall Gmail immediately. Don’t start there. In many cases the message is sitting in Spam, a filter moved it, Google storage is full, or the phone app simply has not synced.
This guide works through 11 fixes in a sensible order, starting with checks that will not delete mail or change your account.
First: find out whether Gmail is missing mail or your app is not updating
Open Gmail on the web in a desktop browser or mobile browser, then have someone send a new email from a different provider. Search for the sender’s address.
- Message arrives on the web but not the phone: You probably have an app, sync or notification problem.
- Message arrives in Spam or another folder: Focus on filters, labels and spam settings.
- Message never appears anywhere: Check storage, forwarding, sender error messages and account security.
Fix 1: Check your Google storage
Gmail shares your Google account storage with Google Drive and Photos. When storage is full, Google says you may be unable to send or receive new mail. Open your Google account storage page and check capacity before clearing random files. Remove unneeded large items only after confirming they are safe to delete.
Fix 2: Search All Mail, Spam and Trash
In Gmail’s search bar, try in:anywhere from:example@domain.com using the sender’s real address. This looks beyond the inbox. Check Spam and Trash manually. Messages in these folders can be permanently deleted after 30 days, so do not delay if an email may have been mistakenly removed.
Fix 3: Look at Promotions and other categories
Gmail can categorize newsletters, receipts and marketing messages. Open Promotions, Updates and Social if those tabs are enabled. If a wanted message is there, move it to Primary or use the relevant label settings. Do not assume it is lost just because Inbox is empty.
Fix 4: Review Filters and Blocked Addresses
On a desktop, select the gear icon → See all settings → Filters and Blocked Addresses. Review every filter, especially rules that say Skip the Inbox, Delete it, Mark as read or forward mail. Edit or remove an incorrect rule. Be especially careful with broad filters matching an entire domain.
Fix 5: Check forwarding and connected mail apps
In Gmail settings, open Forwarding and POP/IMAP. If an unexpected forwarding address is enabled, investigate it. Also check whether Apple Mail, Outlook or another synced email client has moved or deleted the message. Gmail does not create a separate independent copy for every connected app.
Fix 6: Check the sender’s address and delivery failure
Ask the sender to double-check the exact Gmail address and look for a bounce-back message. A typo, rejected attachment or sender-side delivery problem will not be fixed by clearing your Gmail cache. Have the sender try a short plain-text test message if necessary.
Fix 7: Confirm phone connectivity and manual refresh
Switch between Wi-Fi and cellular data to see whether your phone has working internet. Open Gmail and swipe down to refresh. If the browser version receives mail while the app does not, the account itself is likely working.
Fix 8: Fix Gmail sync on Android
Update Gmail from the Play Store, restart your phone and check that Gmail’s sync setting is enabled for the correct account. Android menus vary by brand, but the account sync area is usually under Settings → Passwords & accounts or Accounts. Check battery-saving restrictions if sync consistently stops in the background. Google provides an official Gmail app sync troubleshooter.
Fix 9: Check Gmail on iPhone
Update the Gmail app, ensure it is signed into the right Google account and refresh the inbox. If you use Apple’s Mail app instead, verify that the Google account is still enabled in iOS Mail settings and compare against Gmail in a browser. Notification settings affect alerts, not whether Google receives the email on its servers.
Fix 10: Update and restart before reinstalling
Install available app and operating-system updates, then restart your device. If the app is still failing while Gmail works on the web, you can consider removing and reinstalling the app after confirming you know your account credentials and recovery method. Reinstalling will not retrieve mail that was actually deleted from the account.
Fix 11: Check account security and Google help
Unexpected forwarding, unfamiliar login alerts or security changes can indicate someone accessed your account. Review Google’s security checkup, remove unknown devices or app access, and change a compromised password. If a message is still missing, use Google’s official Gmail missing-messages guide.
Quick diagnosis chart
| What you notice | Most useful first check |
|---|---|
| New mail missing everywhere | Account storage and sender bounce message |
| Mail in Spam or Trash | Filters, blocked addresses and spam behavior |
| Gmail works on desktop but not Android | Gmail app sync, connection, updates |
| Gmail works on web but not Apple Mail | iOS mail account and sync settings |
| You can read mail but receive no notifications | Phone notification settings and background sync |
| Only one sender is missing | Search by address, filter rules and sender delivery error |
Frequently asked questions
Can full Google Drive storage stop Gmail?
Yes. Gmail, Google Drive and Google Photos share account storage, and full storage can prevent new mail from arriving.
Does clearing the app cache delete emails?
Your Gmail account’s server-stored messages are generally not erased by clearing a phone’s app cache. Still, avoid deleting local app data blindly if offline drafts or account settings matter.
Why does Gmail work in a browser but not on my phone?
That usually points to a local app, connectivity, sync or account-selection issue rather than an inbox delivery failure.
Should I turn off spam protection?
No. Find and mark legitimate messages as Not spam instead of broadly weakening protection.
